2025 Vendor Rates & Information

The vendor showcase will run from 9 AM to 3 PM. All booths must be staffed and maintained during the entire event.

Early Discount

There is a discount on the booth fee that ends at 11:59 PM ET on Friday, January 18, 2025.

Registration Deadline

The registration deadline is 5 PM ET on Monday, February 10, 2025. Please note that we often sell out of space before this deadline.

Booth Space

Booth layout and space allocations for this year will not be shown until closer to the date. please check the Showcase Layout Page in March 2025.

Space is allocated in “table” units, which consist of a 6' × 2.5' table with walking space in front. Each table includes a tablecloth and access to one outlet on a shared power circuit.

You are contracting for an amount of space, not a specific location. While we will attempt to honor location requests, the specific placement within the showcase is at the sole discretion of Ithaca College. We are not able to guarantee a specific booth location, unless indicated as part of the booth packages.

Booths are limited. If we are unable to place you in your booth size of choice, we will try to accommodate your request as best as possible and adjust your fee accordingly. The earlier we receive your registration form the better our chances are of meeting your booth size requests.

While the specific layout for 2025 will be slightly different, here is a link to a mock set up for the event.

Wired Network Connection(s)

Guest Wi-Fi is available to vendors (free) to use with no authentication. 

If a vendor has a need for a wired connection, please email edtechday@ithaca.edu before February 10th, 2025. There is an additional $500 fee for wired connection. 

Wireless SSID will be provided day of the event. 

Program Advertisement

The show program will be available at the event providing you with great exposure to your key potential customers. Program ad space is limited and will be allocated in the order in which we receive the registration forms. You must supply us with a high-quality PDF file of the ad (no JPEGs) by Friday, February 28th, 2025.

Seminars

If you would like to present a seminar at Ed Tech Day, please apply sending edtechday@ithaca.edu an email by February 10, 2024. You will also have the change to register for a seminar spot when filling out the vendor registration form. 

  • The awarding of seminar slots is competitive. A limited number of 50-minute seminar slots are available and will be allocated at the discretion of Ithaca College.
  • Seminar costs: If selected, seminar slots are free to vendors who have a booth in their name in the vendor showcase. If a vendor does not have a booth, there is a $1,000 speaking fee per selected seminar.
  • Criteria: in selecting seminars we will consider the subject matter and overall mix of seminar topics for the show. We will look for a variety of technical and broader issues sessions. We want a mix of sessions that will appeal to the show’s diverse audience: students, faculty, IT and non-IT staff, local businesses. Historically, the best-attended sessions are ones that discuss the use or application of technology (such as in the classroom, security, etc.), as opposed to focusing on a specific product.
  • You will be notified via email by about the status of your seminar application. Seminars may be scheduled anytime between 9:00 AM and 3:00 PM at the discretion of the College.

Finger Lakes Faculty Developers Network Luncheon Sponsorship Opportunity

This sponsorship opportunity will provide the sponsor the opportunity to have lunch with academic development leaders from throughout the upstate NY area. The vendor will be provided with a brief window where they can address the attendees.

Box Lunch

Box lunches are available by pre-order only through the vendor registration link. Each sandwich box includes a sandwich, chips, and a water. Chef Salad includes a water. Due to a large number of lunches ordered, no substitutions or modifications are permitted. Pre-ordered box lunches will need to be picked up from a specified location provided to you at vendor check-in on the day of the event. 

If you prefer the campus food court and Ithaca Bakery is located downstairs from the vendor showcase, which will need to be ordered and purchased through GrubHub App. There is also a snack bar located downstairs from the registration desk next to the bookstore for additional food or drink purchases.

Payment Terms

Complete the Vendor Registration online. Payment must be made by credit card. Vendor registration is not complete until your full payment has been processed.

  • Applications received after February 11, 2025 will be accepted as space permits and if accepted, may be assessed a $200 late accommodation fee.
  • Refunds will not be provided for cancellations after February 10, 2025. All fees will remain payable in full. Ithaca College reserves the right to reject or accept any Vendor Registration at its sole discretion.

Terms and Conditions

Damages or Loss of Property. Ithaca College, including its employees, agents, and affiliates, shall not be responsible for loss or damage to any property in storage, in transit to or from the campus and the event building, while in any campus building, or for any loss of income as a result of any reduced sale due to such loss or damage. All vendor property will be deemed to remain under the vendor's care, custody, and control while in storage, in transit to and from, or within the confines of the event building(s), even though at times it may at times be left outside of the vendor's direct control and/or in spaces controlled by the College. 

Indemnity. Each vendor must agree to indemnify and hold harmless Ithaca College from any and all liability, loss, damage or expense resulting from the vendor's negligence or other misconduct. 

Insurance

Vendors are encouraged to insure their exhibits, personal property, merchandise and display material against theft, fire, etc., at their own expense. Vendors are advised to contact their own insurance broker(s) to obtain all risk insurance covering exhibit property while absent from home premises for exhibit purposes, or a rider to the exhibitor's existing policy covering same. 

Under 18/Minors

Pursuant to Ithaca College policies, including the Protection of Minors Policy, vendor participating in Ed Tech Day are not authorized or permitted to engage in one-on-one contact with any individual who is a minor (under 18) at any time while on college property.
