New and existing student employees should enter timecards for processing in the Ithaca College Bi-Weekly payroll, approximately every two (2) weeks. Late submitted and approved timecards are processed in the following payroll. Student employees and student supervisors should refer to this calendar to ensure that hours worked are entered and payment is processed in a timely and efficient manner.
The process for entering timecards is outlined here, and the process for entering NYS Paid Sick Leave (NYS PSL) is outlined here. When entering NYS PSL student employees should ensure that time is entered on the 99 Student Absences assignment and not on the work assignment.
Students working additional work assignments should ensure that they are entering their time on the appropriate assignment in order to ensure that time can be reviewed and approved in advance of Bi-Weekly payroll processing. When entering time, students may only see “Recent Values” in the Job/Department field, rather than “All Values”. In order to select the appropriate work assignment, please type the department name or the assignment number (both of which can be found on Employment Info tile in IC HR Cloud). This should make the appropriate work assignment visible when entering hours.
Please note: Payment for student employees is processed via paper check mailed to the home address listed in HomerConnect, unless the student employee is enrolled in direct deposit. Direct deposit allows for timely and efficient payroll processing, and can be registered for directly in IC HR Cloud, by utilizing these instructions.
