1. Hiring Manager creates requisition
- a. There is no option to submit the requisition for review; however, you can save and return to make changes at any time prior to posting.
- b. The Recruiter will receive a notification when you add their name to the Recruiter field under Team. To accurately reflect the status of a requisition before posting, please add the following to the requisition title:
- i. (DRAFT) STUDENT EMPLOYEE - Example
- ii. (FINAL) STUDENT EMPLOYEE - Example
- c. Updating the title to the above will signal to the Recruiter when they can post your requisition. Draft/Final will not be in the posted requisition title.
2. Recruiter posts requisition
3. Hiring Manager conducts initial review
- a. Change phase/state for non-selected candidate(s)
i. Phase: Added to Requisition – New
ii. State: Rejected by Employer
iii. Reason: provide reason via drop-down menu
- b. Change phase/state for selected candidate(s)
i. Phase: Phone Screening/Semifinalist Interview OR Face to Face/Finalist Interview
ii. State: Selected for Phone Interview OR Face to Face/Finalist
4. Hiring Manager conducts phone interview(s) OR finalist interview(s)
- a. Change phase/state for non-selected candidate(s)
i. Phase: Phone Screening/Semifinalist Interview OR Face to Face/Finalist Interview
ii. State: Rejected by Employer
iii. Reason: provide reason via drop-down menu
- b. Change phase/state for selected candidate(s)
i. Phase: Offer
ii. State: To be created
1. This will notify Recruiter that you have identified a finalist/finalists
5. Recruiter will review selected and non-selected applicants. After reviewing, the Recruiter will issue a feedback form (Recommendation for Hire) for each selected finalist
- a. This signals to the Hiring Manager that they can verbally extend an offer to the applicant
- b. If the candidate accepts, the Hiring Manager will complete the feedback form with necessary information
- c. If the candidate declines, the Hiring Manager will need to change phase/state:
i. Phase: Offer
ii. State: Withdrawn by Candidate
iii. Reason: provide reason via drop-down menu
- d. Hiring Manager is responsible for communicating with any non-selected finalist(s) to let them know they are not being considered
6. Recruiter will create electronic offer (from Recommendation for Hire feedback form) and extend to candidate
7. Candidate receives offer via email and accepts
- a. Hiring Manager and Recruiter notified of acceptance
Next Steps:
1. If student has never worked before:
- a. Student must attend New Student Employment Program (NSEP) prior to their start date
i. It is the supervisor’s responsibility to notify the student that they must attend the NSEP prior to their start date. The supervisor and the student must be aware that attending the NSEP does not guarantee that the student will be able to log into the Cloud and submit timecards immediately after.
ii. The supervisor can verify if a student has the appropriate active assignment when they are listed under the Hiring Manager’s My Team app.
2. If student has worked before and/or is currently working:
- a. Student assignment is added
- b. The supervisor can verify if a student has the appropriate active assignment when they are listed under the Hiring Manager’s My Team app.
Promotions:
Internal promotions will function in the same way as other student employee searches.
When creating the requisition, under Details (5), be sure to complete the following field with the appropriate rationale: If conducting an INTERNAL ONLY search, please explain your recruitment plan. This allows the Recruiter to understand why this search will be internal only.
Internal promotion searches will not be posted, and Hiring Managers will have to either add or invite their current student employees to apply.
